Review and approval before anything publishes
Send a paragraph to a named reviewer, track every comment and suggestion, and record a named approval before it can join an edition.
Assignments: who reviews what, by when, with what message
Create one assignment per review. The assignment names the reviewer, the due date and the instructions, and it moves the paragraph to in review.
Select the paragraphs to send
Open the chapter, select the paragraphs that need checking, and confirm each one has geography and chart numbers.
Create the assignment
Choose Reviews, select Create a review, then pick the reviewer, the due date and the type, review or contribute.
Add a message that says what to check
Write what the reviewer should look for, such as chart numbers, a hazard distance or a source wording. Keep the message short and specific.
Send the assignment and confirm the status
Send the review and confirm the status shows in review and the reviewer is listed on the assignment. The reviewer can open it from the review queue.
Track progress per reviewer
Open the assignment to see who has started, who has commented and who is still due. Move the due date with a reason if the date needs to change.
Comments and suggestions: choose the right mode
Reviewers work without changing live text. Contributors who may edit work in a different mode, and the screen says which mode you are in.
Comment only
Leave a comment anchored to the paragraph. The live paragraph does not change. Use this mode for a fact check or a question.
Suggest a replacement
Suggest new text for the paragraph. The editor accepts or rejects each suggestion one by one before approval.
Edit directly
Contributors with edit access change the paragraph as a new version with a reason. They still cannot approve their own work.
Review a paragraph in this order
Open the assignment from your queue and work through these steps.
Open the assignment and read the paragraph in context
Open Reviews, choose the assignment due to you, then read the paragraph with its chapter, geography and chart numbers.
Leave a comment or a suggested replacement
Select the text you mean, add a comment or suggested text, and save it. Add a separate comment for each separate point.
Check the history and linked change requests
Read who changed the paragraph, when and why, and check any linked change request before you decide.
Mark the review complete
Mark the assignment complete when your comments are saved. The editor sees every comment with your name and date.
Let the editor resolve each point
The editor accepts or rejects each suggestion, edits the paragraph as a new version where needed, and resolves each comment.
Approval gate: nothing publishes without approval
An approver records the decision. That record names the approver and the date, and it locks the approved version.
Read the final text and history
Open the approval screen, read the final text in context, and check that open comments are resolved.
Accept or reject each suggestion
Go through each suggestion in order. Accept the wording you want, reject the wording you do not want, and note why where it helps the editor.
Approve or return it with a reason
Select Approve and add a reason, or select Return and add the reason the work must go back. Returned work goes back to draft.
Confirm the approved version is locked and dated
Confirm the paragraph shows approved, with approver name and date, and that the version is locked against further edits.
- Nothing publishes without an approval record naming the approver and date
- Reviewers in comment mode cannot change the live paragraph
- Returned work goes back to draft, and the reason is required
- Editors cannot approve their own work
