Send a paragraph for review
Editors can send work for review with clear instructions and a due date. The approved edition does not change while a review is open.
Steps
Choose the paragraphs, name the reviewers, and send the review with the context a reviewer needs.
Select paragraphs
Open the paragraph list, filter by chapter, type or owner if you need to, and select the paragraphs to send. Confirm geography and chart numbers are present on each one.
Assign reviewers
Choose one or more reviewers by name. Each assignment names the paragraph, the reviewer, and the type of work: review or contribute.
Set a due date and a message
Set the due date and add a short message that states what to check, what context to read, and what decision you need. Keep the message plain and short.
Send the review
Choose Send review. The selected paragraphs move to in review, the assignment appears in the reviewer queue, and the reviewer is notified.
Confirm the approved edition is untouched
Open the published edition and confirm it still shows the prior approved versions. Review works on the draft versions only.
Check
Confirm the review is live before you wait for comments.
- Each paragraph shows as in review.
- Each reviewer sees the assignment with a due date and instructions.
- The reviewer can open the paragraph in context with its chapter and fields.
- The published edition still shows the prior approved versions.
How a reviewer works
Three modes keep review separate from editing.
Comment only
A reviewer in comment mode can leave a comment anchored to the paragraph. The reviewer cannot change the live paragraph.
Suggest replacement text
A reviewer can suggest replacement text for the editor to accept or reject. Suggestions stay as suggestions until the editor acts on each one.
Complete the assignment
When the reviewer finishes, they mark the assignment complete. Open comments stay visible until the editor resolves them.
How approval follows review: Approve a paragraph. Feature detail: Review and approval.
What an auditor sees
The assignment records who was asked, by whom, when it was due, and when it was completed. Review comments record the reviewer, the paragraph and the date.
Returned work goes back to draft with a reason required, so the next editor sees why it came back.
