Guide 4 — Approval

Approve a paragraph

Approvers can check a paragraph and record a decision that others can trace. Nothing publishes without that record.

Steps

Read the final text in context, decide each suggestion, then record your decision with a reason.

  1. Read the paragraph in context

Open the approval queue, choose the paragraph, and read it in its chapter with its type, geography and chart numbers. Read the version history to see who changed it, when and why.

  2. Resolve comments

Open each open comment and confirm it has been addressed or mark it resolved. Comments stay linked to the reviewer, the paragraph and the date.

  3. Accept or reject each suggestion

For each suggested replacement, choose Accept or Reject. No suggestion becomes live text until you accept it, and the decision is kept on the record.

  4. Approve with a reason

Choose Approve, add a short reason, and record the decision. The approval names the approver and the date, and the approved version locks.

  5. Return with a reason when needed

If the paragraph is not ready, choose Return to draft and add the reason. The editor sees the reason and the comments and can correct the paragraph as a new draft.

Check

Confirm the approval is locked and dated before you plan the weekly set.

  • The paragraph shows as approved and is locked against further edits.
  • The approval screen shows the approver name and date.
  • Accepted and rejected suggestions are both recorded.
  • Open comments are resolved or returned with the work.
  • The version history still shows every prior save.

Why approval is separate from editing

The person who edited a paragraph is not its approver in the normal flow. That separation is what a reviewer or auditor checks first.

The gate

Editions and weekly change sets can include only approved paragraphs. A chapter cannot be approved while any listed paragraph is still in draft.

The lock

An approved and published version is never edited in place. A later change creates a new draft and a new version, so the published edition stays reproducible.
