Security and privacy

Use this page to check how sign in, roles, audit records and backups protect a workspace, and how personal details are handled.

Sign in and workspaces

Sign in with MAJIC and work in a workspace that is separate from every other workspace.

  1. Sign in with your MAJIC account

Open Sign in and sign in with the MAJIC account your organisation gave you. There is no separate password for CoastPilot Studio.

  2. Ask an administrator to add you

Ask a workspace administrator to add your email address and give you a role. Your role decides what you can view, edit, review, approve and publish.

  3. Check your role before you start

Open the Team screen and read your role. If a button you need is missing, ask an administrator to change your role or add you to a group.

  4. Work only in your own workspace

Keep publications, chapters and paragraphs in the workspace where they belong. Do not copy draft text into another workspace or onto a public page.

Audit and backups

Every change records who made it, when they made it and why they made it, so a manager can check the record and restore work.

  1. Open the activity record

Open Activity and filter by person, action and date. Read the entry for the paragraph, chapter or edition you want to check.

  2. Check the version history

Open the paragraph and read its version history. Compare the version you need with the current version. Restore an earlier approved version as a new version when you need to go back.

  3. Keep published work locked

Leave published paragraphs and editions locked. Make a correction in a new draft and send it for review and approval before it can publish.

  4. Ask for a restore

Ask a workspace administrator to restore a backup or an earlier version. Tell them the publication, chapter and paragraph, and the date of the version you need.

  • Sign in through MAJIC only
  • Roles limit view, edit, review, approve and publish
  • Workspaces are kept separate
  • Changes show who, when and why

Privacy

See what is collected, why it is collected, how long it is kept and how to ask for a copy or a deletion.

What is collected

Workspace details such as name, email address and role, plus the publications, chapters, paragraphs and change reports you work on.

Why it is collected

To run the workspace, show each person the work they can do, record approvals and keep published editions reproducible.

Who can see it

Only people in your workspace with the right role can see draft work. Public pages show only published editions.

  1. Ask for an export

Ask a workspace administrator to export the records for your workspace. Check the export for your name, role and the work you did.

  2. Ask for a correction

Send a message through the Request a demo page. Name your workspace, your email address and the detail that needs to change.

  3. Ask for removal of access

Ask a workspace administrator to turn off your access. Your past edits and approvals stay in the version history so the record stays complete.

  4. Ask for deletion

Send a message through the Request a demo page and name the workspace and records you want deleted. Keep a note of the request and the date you sent it.
